Representatives scan attendees' QR codes in the app to save them as leads for the booth. The first part of this article is for representatives. The last two sections are for the sponsor admin, who reviews the scans and sets up scan questions in the admin panel.
Before you start
The organizer has turned on lead scanning for the event and Lead scanning for your booth. The booth switch is off until the organizer turns it on.
You are linked to the booth as a representative. Scans you made before you were linked appear on the booth once you are linked.
You have turned on networking in the app. Representatives who opted out of networking can't scan.
On a phone, the app needs camera access. In the web app, the browser asks for camera access.
Attendees who are not representatives can also scan each other when the organizer allows it. Those scans belong to the attendee, not to a booth. See Let attendees scan each other's QR codes for the organizer side.
Where to find it
Scanning: the QR Code tab in the mobile app's bottom bar and in the web app's bottom bar or left rail. It has two sub-tabs, My Code and Scan QR Code.
Your scans: People (or the name your organizer gave it) > Scans, or the Scans shortcut at the top of Networking.
Sponsor admin: Booths > your booth > Scans in the admin panel.
If you don't see the QR Code tab, the organizer has not turned on lead scanning for the event, or you can't scan and have no QR code of your own.
Scan a QR code
Open QR Code > Scan QR Code.
Point the camera at the code. The app reads Brella QR codes shown under My Code and QR codes on printed badges that the organizer imported with the registration.
The app saves the scan and shows "Attendee was saved to prospects". The person's profile opens, then the Prospect details screen.
On Prospect details, enter a note under Add a note and answer the booth's scan questions. Select Save. The app shows "Details saved".
Rules while scanning:
Scanning someone you already scanned opens their profile. The app keeps one scan per person.
You can't scan your own code: "Cannot scan yourself".
A QR code that is not from Brella and contains a web address shows "Do you want to open this URL?". Select Open or cancel.
Any other code shows "QR code is not valid".
If the scanned person has not joined the event yet, the scan saves the details the organizer imported for them. Their profile fills in when they join.
If you represent several booths with lead scanning, the scan is saved for all of them.
To add or change notes and answers later, open the person's profile and select Edit prospect in the "Scanned prospect" line, or open them from People > Scans.
Let attendees scan you
Open QR Code > My Code and show the code. The screen shows your photo, name, company, title and the event name. "What is this QR Code?" opens a short explanation. Attendees who scan you appear on the booth's Inbound scans for the sponsor admin.
My Code is missing when the organizer has not given your registrant list a QR code. You can still scan others.
Your scans in the app
People > Scans lists everyone you scanned, newest first. Each card shows the name, title and company, a Scan tag and the first lines of your notes. Select a card to open the profile, where you can chat or suggest a meeting.
"Details not shared" replaces the name when the scanned person has no name on file.
"Removed prospect" marks a person who was removed from the event.
An empty list reads "No scans yet".
Export your scans
Select Export scans csv at the top of People > Scans. The app shows "Your CSV export will be delivered to <your email> shortly." The file arrives by email as a zip attachment and contains only the scans you made. If you represent several booths with lead scanning, you receive one email per booth.
Export scans csv appears only when you have at least one scan and your booth has Lead scanning on.
Review scans in the admin panel (sponsor admin)
Open Booths > your booth > Scans. The tab is hidden when the event does not use lead scanning, and disabled until the organizer turns on Lead scanning for your booth ("To see your scan details, reach out to the event organizer.").
The card has three sub-tabs:
Outbound scans: "Attendees scanned by your representatives (n)". Columns: Who scanned, Scanned registrant, Scanned email, Scanned company, Scanned title, Operates in, Intents & Interests, Identity, registrant custom fields the organizer marked visible to sponsors, Scanning time (tagged "Before event", "During event" or "After event"), Notes, one column per scan question, and Actions.
Inbound scans: "Attendees who scanned your representatives (n)". Columns: Scanned representative, then the scanner's details and Scanning time. No notes or answers.
Scan questions: see the next section.
Actions:
Filters > Representative narrows the list to one representative.
Edit opens "Edit lead: <name>" to change the Notes. Brella shows "Changes saved successfully."
Delete removes the scan after "Are you sure you want to delete this scan?". Brella shows "Lead deleted successfully."
Export Outbound CSV or Export Inbound CSV emails you the list: "Your CSV export will be delivered by email shortly". The attachment is a zip file.
A person who deleted their Brella account shows as "Deleted user".
Export columns
Outbound: Date, Prospect name, Email, Company name, Job title, Matchmaking interests, the event's three identity fields (Persona, Industry and Function, or the names the organizer gave them), Operates in, Sponsor rep, Notes, then the custom fields visible to sponsors, then one column per scan question.
Inbound: the same up to Operates in, then Scanned representative and the custom fields. No notes or answers.
Set up scan questions (sponsor admin)
Scan questions are the fields a representative fills in on Prospect details after a scan. Each booth has its own questions. Add notes (Default question) is always there and can't be edited or removed.
Open Booths > your booth > Scans > Scan questions.
Select Create new. The "Lead scan question" drawer opens.
Choose the type: Text, Single select or Multiple select. Enter the question. For select types, enter the options.
Select Create. Brella shows "Lead scan question created".
Drag the handle at the start of a row to change the order. Brella shows "Position saved". The app shows the questions in this order.
Edit opens the same drawer; select Update to save.
Remove deletes the question after "Are you sure you want to remove this question?" ("This action cannot be undone."). Brella also deletes every answer already given to that question.
A representative of several booths sees the questions of every booth they represent. Each answer belongs to the booth that asked the question.
Limits
One scan per person per representative. Scanning again opens the profile.
Removing a representative from the booth also removes the scans they made from the booth's Scans and exports. Adding them back restores the scans.
Question text and each option: up to 1,000 characters.
Scans are stored for the booth. The organizer sees per-booth scans in the admin panel too.
Troubleshooting
"Sorry, QR code scanning is unavailable"
Lead scanning is off for you. For a representative this means Lead scanning is off for the booth. Ask the organizer.
"Sorry, networking is unavailable"
Networking is off for your registrant list. Ask the organizer.
"You haven't enabled matchmaking yet"
You opted out of networking. Select Start networking and complete your networking profile.
"Allow app to access your camera" or "Allow access to your camera"
Give the app camera access in the phone settings (Open settings), or allow the camera for the site in the browser and reload the page.
No Export scans csv button
You have no scans yet, or your booth's Lead scanning is off.
The Scans tab is grayed out in the admin panel
The organizer has not turned on Lead scanning for your booth.
