Representatives are registrants of the event who are linked to your booth. Brella links them automatically with a rule the organizer chooses, or the organizer adds them by hand. This article is for the sponsor admin. It explains how linking works, what you see on the Representatives tab, and what only the organizer can do.
Before you start
You need sponsor admin access to the booth. See Access your booth in the admin panel.
The Representatives tab lists linked people whether or not they have joined the event. People the organizer registered in advance can be linked from their registration details; the tab shows "Not joined yet" under Joined the event until they join.
The booth page in the app shows only representatives who have joined the event.
You can't add representatives yourself. You can view, export and remove them. Linking rules and manual additions are the organizer's job.
Where to find it
Booths > your booth > Representatives in the admin panel.
How representatives get linked
Each booth has an Automatic linking switch and a Linking method, both set by the organizer. New booths start with Automatic linking on and the method Partial match.
Partial match (default): links people whose company name starts with your booth's name. Booth
ABClinks companyABCandABC Ltd. BoothABC Ltddoes not link companyABC.Exact match: links people whose company name equals your booth's name.
Domain match: links people whose email domain, the part after
@, equals one of the domains the organizer entered under Email domain(s).abc.comdoes not matchmail.abc.com. The company name is ignored.Custom field: links people whose answer to a registration question matches one of the values the organizer chose. Matching is not case sensitive.
Manual: the organizer selects Add representatives on the booth's Representatives tab and picks people who have joined the event.
Company names, domains and values are compared without regard to capitalization or spaces at the start and end. For people who have not joined yet, Brella uses the company and email from their registration.
Brella checks the rule when the organizer creates your booth or changes its name or linking settings, when a person joins the event, when they change their profile or registration answers, and when the organizer adds, imports or edits a registration. A match links the person.
Rules that always apply to automatic linking:
It only links people who are not yet a representative of any booth in the event. Someone who is already on another booth is skipped, even if their company name changes later. Only the organizer can add them to a second booth.
If several booths match, the booth the organizer created first wins. Company name and domain rules are checked before custom field rules.
It never removes anyone.
Nothing is linked after the event has ended.
If you manage the booth and want to appear as a representative, join the event in the app and ask the organizer to add your registration under Representatives > Add representatives. See Manage your account in the admin panel.
The Representatives tab
The tab lists every representative with their activity at the event. The tooltip on the card reads "Brella will link your representatives automatically. If you have problems with it, contact your event organizer."
Columns: Name, Joined the event, Added as a Representative, Meetings: Accepted, Meetings: Pending inbound, Meetings: Pending outbound, Meetings: Cancelled, Meetings: Declined (chat open), Meetings: Declined (chat closed), Total outbound, Open chat: Answered inbound, Open chat: Answered outbound, Open chat: Pending inbound, Open chat: Pending outbound, Open chat: Converted to meeting inbound, Open chat: Converted to meeting outbound, Total messages. Select a column title to sort.
Inbound means the other attendee started the request or chat; outbound means your representative did. Total messages counts chat messages in open chats and meetings. Draft meetings, which only the organizer sees, are not counted. Dates are shown in the event's time zone.
Export the table
Select Export (.csv). The file downloads at once. It lists each representative with the date they joined the event, the date they were added, and their meeting and open chat counts.
Remove a representative
Select Remove at the end of the row.
Confirm "Are you sure you want to remove this representative?".
Warning: Removing a representative also removes the leads they scanned from your booth's Scans tab and exports. Adding them back restores the leads.
Removing does not stop automatic linking. If the person still matches the booth's rule, Brella links them again the next time it checks, for example when they edit their profile or the organizer changes the booth. To keep them off the booth, ask the organizer to change the rule or to turn off Automatic linking, or ask the person to correct their company name.
What only the organizer can do
Turn Automatic linking on or off and choose the Linking method. These settings are under Booth Control in the booth details and are hidden from sponsor admins.
Add representatives by hand, including a person who already represents another booth.
Link people before they join the event, through their registration details.
To get a colleague linked who does not match the rule, ask the organizer to add them under Representatives > Add representatives. The person must have joined the event first.
What attendees see
Your representatives who have joined appear on your booth page in the app, in the section named Representatives (or the name you gave it in Tab Customization), with the count in the section title. Attendees see up to 5 cards and a Show all link for the rest. Attendees whose networking is turned off don't see the section.
A representative can take meetings and chats for your booth, scan leads when the organizer turned on Lead scanning for the booth, and shares your company's meeting limit when the organizer set one. See What a representative can do in the app.
Limits
Automatic linking: one booth per person, the booth created first wins, nothing after the event has ended.
No limit on the number of representatives per booth.
Sponsor admins can remove representatives but can't add them.
Troubleshooting
A colleague is not on the booth
Check their company name in the app: with Partial match, it must start with your booth's name. If they already represent another booth, only the organizer can add them. Otherwise ask the organizer to add them by hand once they have joined the event.
You manage the booth but are not on it as a representative
Join the event in the app and ask the organizer to add your registration under Representatives > Add representatives.
A colleague is on the Representatives tab but not on the booth in the app
They have not joined the event yet. The tab shows "Not joined yet" under Joined the event.
Someone from another company is on the booth
With Partial match, a short booth name such as ABC also matches ABC Networks. Remove the person and ask the organizer to switch to Exact match or Domain match.
A removed representative came back
Their profile still matches the booth's rule. Ask the organizer to change the rule or turn off Automatic linking for the booth.
