Review meetings and chats on the Engagement tab

Written by Customer Success

The Engagement tab sums up your representatives' meetings and chats, lists every meeting with the attendee's details, and lets you download both tables as CSV files. This article is for the sponsor admin.

Before you start

Where to find it

Booths > your booth > Engagement in the admin panel.

Meetings and open chat summary

The first card is a table with the columns Total, Inbound (requests or messages received by your representatives) and Outbound (sent by them). Select a column heading to sort.

Row

What it counts

Total meetings

All meeting requests of your representatives. Open chats that have not become meeting requests and draft meetings, which only the organizer sees, are not included.

Meetings: Accepted

Requests accepted by both sides

Meetings: Pending

Requests waiting for an answer, including rescheduled ones

Meetings: Declined

Requests that were declined

Meetings: Cancelled

Requests that were canceled

Open chat: Answered

Open chats the other side replied to

Open chat: Pending

Total shows all open chats started with your representatives. Inbound and Outbound show only the ones still without a reply.

Open chat: Converted to meeting

Open chats that became an accepted meeting

Total Messages

Chat messages in your representatives' meeting chats. Messages in an open chat count once the open chat becomes a meeting request.

Note: in the open chat rows, Total counts every open chat, while Inbound and Outbound count only open chats that have not become meeting requests. The columns do not always add up.

If the organizer allows meetings at booths for the event and for your booth's category, a Meet-at-booth switch sits at the top of this card: "Your representatives can use the booth for networking meetings." Turning it on or off shows "Sponsor updated successfully". See Offer meetings at your booth.

Who met who

The second card lists every meeting and open chat involving one of your representatives, one row per representative and meeting. Draft meetings are not listed. Select a column heading to sort.

Export the tables

Each card has an Export (.csv) button. The button is disabled while the table is empty. The file downloads at once in your browser:

  • meetings-summary-<date>.csv: the summary rows with Total, Inbound and Outbound.

  • who-met-who-<date>.csv: one row per meeting with Representative, Attendee, Email, Company, Title, Operates in, Date, Status, Location, Direction and Messages. The export has no Point column.

Limits

  • A meeting between two of your representatives appears once per representative.

  • Representatives who are removed from the booth leave the tables with their meetings.

  • The tables show all data at once, without pages.

Troubleshooting

The tables are empty
Your representatives have not sent or received meeting requests yet, or no attendee is linked to your booth as a representative. Check the Representatives tab.

A representative's meetings are missing
The attendee is not linked to your booth, or was removed. Ask the organizer to link them.
