Offer meetings at your booth

At in-person and hybrid events, your representatives can hold their 1:1 meetings at your booth instead of the networking area. The first part is for the sponsor admin, who turns the option on in the admin panel. The second part is for representatives, who pick the booth in the app.

Before you start

  • The organizer has turned on Meet-at-booth for the event and allowed it for your booth's category. If either is off, the switch does not appear on your booth page and representatives see no booth option.

  • Virtual events don't have this feature.

  • Only attendees linked to your booth as representatives can choose it as a meeting location. See Link representatives to your booth.

  • The organizer can replace the word "booth" with another word, for example "stand". The app then uses that word in these labels.

Where to find it

  • Sponsor admin: Booths > your booth > Engagement, the Meet-at-booth switch at the top of "Meetings and open chat summary".

  • Representative: the Location filter when choosing a meeting time, the sheet "Where would you like to meet?" when accepting a request, and Change location in a meeting's menu.

Turn Meet-at-booth on for your booth (sponsor admin)

  1. Open Booths and select your booth.

  2. Open Engagement.

  3. Under Meet-at-booth ("Your representatives can use the booth for networking meetings."), select the switch. Brella shows "Sponsor updated successfully".

The organizer has the same setting under Booth Control in your booth's details. Either side can change it.

Propose a meeting at your booth (representative)

  1. Open an attendee's profile and select Suggest meeting.

  2. In the time slot list, open Filters and look under Location.

  3. Select your booth. It is listed with a store icon as "<your company> booth". Selecting it clears the other location filters.

  4. Choose a time slot and select Send request.

If other meetings are already booked at your booth in that slot, a notice "More booth meetings" tells you how many. You can still book.

Accept a request at your booth (representative)

  1. Open a pending meeting request and select Accept.

  2. The sheet "Where would you like to meet?" opens: "You can hold this meeting at your booth or at the suggested networking area."

  3. Select Meet at booth ("As a company you can have this meeting at your booth"), or select the networking area or custom location to keep the proposed place.

The Where would you like to meet? sheet with the Meet at booth option and the networking area option

If you represent several booths with Meet-at-booth on, each booth is listed as Meet at <company> Booth.

Move a meeting to or from your booth (representative)

  1. Open the meeting.

  2. Open the meeting menu and select Change location.

  3. Select your booth, or the networking area to move the meeting back.

A meeting's menu with the Change location item

Change location is available for pending, accepted and rescheduled meetings. The app shows "Request to change the location sent" and sends the other attendee a chat message: "Hi <name>! I am looking forward to our meeting. Instead of the <old location>, let's meet at the <new location> — does that work for you?"

The change is a reschedule request. The meeting shows the new location at once, its status changes to rescheduled, and the other attendee has to accept it before the meeting is confirmed again.

What attendees see

  • The meeting shows "<your company> Booth" as its location, in the meeting details and in the chat message about a moved meeting.

  • Booth meetings don't take a table in the networking area. A networking area that is fully booked for a slot doesn't block a meeting at your booth in that slot.

Limits

  • In-person and hybrid events only.

  • The booth option appears only for your own company's representatives. Attendees can't pick another company's booth.

  • If the organizer turns Meet-at-booth off for the event, new booth meetings can't be booked. Meetings already booked at the booth are not changed.

  • Meetings at your booth count toward your company's meeting limit like any other accepted meeting.

Troubleshooting

No Meet-at-booth switch on Engagement
The organizer has not turned on Meet-at-booth for the event or for your booth's category. Ask the organizer.

A representative doesn't see the booth under Location
Check that the switch is on and that the person is listed on your booth's Representatives tab. Ask them to reopen the event in the app.

Change location is missing from the meeting menu
The meeting is not pending, accepted or rescheduled, you were added to it as a guest, the other person has not joined the event yet, or the meeting belongs to a managed meetings program that locks it.
